*Estimate for a 30-consultant recruitment agency. Calculate yours below.
If you unlock 1 hour a day for your team, +£288,750 spent on admin goes back into billing.
At 1 deal per month, per head; that single hour is worth up to 45 extra placements a year. With an average NFI of £11,050, that's £394,568 straight to your bottom line.
Time saved per consultant
| Saved a day | Yearly costs invested back into billing | Extra placements | Extra operating profit |
|---|---|---|---|
| 30 minutes | £144,375 | 22 | £192,900 |
| 1 hour | £288,750 | 45 | £394,568 |
| 2 hours | £577,500 | 90 | £789,136 |
| 3 hours | £866,250 | 135 | £1,183,704 |
79.35% of your extra NFI is operating profit, because headcount stays the same. Only commission, employer NI and pension come off. Estimates based on 1.4x true cost (Teamed 2026), 1 deal per head per month and 17.5% commission (Get Recruited 2026).
As recruitment agencies scale, two problems slow their growth
1. Chinese whispers
As the business scales, process adherence falls
Founders are often great recruiters. They start by hiring a founding team of experienced recruiters and upskill them directly.
The first cracks often form when the founding team hire their own sub-teams. Your process gets watered down, done differently, or parts are skipped altogether.
As the business grows, consistent recruitment quality drops.
By automating repetitive recruiting tasks, we ensure process adherence, giving your recruiters more time to focus on billing work, which leads to more placements.
level
2. Leaky buckets
As teams grow, recruiting ability dilutes and inefficient processes are scaled.
The workarounds that worked fine for a 5‑person team get replicated across 30 consultants. The lost hours compound with the headcount.
In addition, new recruiters have worse ratios and require more time per task. Those problems stack, meaning new recruiters need up to 3x more time per placement.
By building systems that automate or accelerate workflows, you increase speed per task, decreasing time per placement and increasing reps, creating more placements.

What we fix, and what we build to do it
Each system is built to integrate into our customers’ current workflow, which drives higher team adoption and more value business‑wide.
Unlike traditional SaaS, you own what you buy. As you scale, the price does not, creating operating margins that expand as you grow.

Data & Security
How candidate data is protected
The best data protection is not holding your data at all. Whenever possible, we keep the data within your own systems. By default, candidate data doesn’t stay on our servers and is only processed in memory, a principle called data minimisation.
Your data stays in your systems
Wherever possible, we build inside your own accounts and tools, so your candidate data stays where it already lives, not on our servers.
Processed in memory, not stored
By default, where a build needs our side to run, data passes through in memory only and isn’t saved.
No training on your data
AI models are used under business terms that bar the provider from training on your data.
Redaction before AI
By default, where your data passes through us to an AI provider, we remove names, contact details and other personal identifiers first, so the model never sees who the candidate is.
AI regulation in the recruitment industry
Using AI in certain areas of the recruitment cycle will be classed as "high-risk" by the EU AI Act, and regulated by the Data (Use and Access) Act 2025 and the Equality Act 2010 in the UK, and by laws such as New York City’s Local Law 144 and Colorado’s AI Act in the US. Working with the right AI partners as your guides ensures you stay on the right side of the AI laws while you use AI to create leverage and improve the operations of your business.
Systems can still be built in these areas. They just need extra care: testing for bias, never filtering on protected characteristics, a person signing off every decision about a candidate, and clear records of how the system works.
How AI in recruitment is regulated, by risk
Operational AI
- AI that automates or accelerates the admin work around a placement are often the biggest drain on operating margins in a recruitment agency, and among the safest AI systems to implement.
- As these systems don’t decide anything about a candidate, they carry no special AI-law duties beyond normal data protection, so they’re the best place to start.
High-risk: scoring and deciding
When AI decides who gets work, hidden bias can unfairly shut out whole groups of people, at scale. That covers AI that:
- Decides who sees a job advert, for example only showing it to certain ages
- Screens out applications, for example on career gaps or postcodes
- Scores or matches candidates, for example copying bias in past hires
- Judges interviews or tests, for example marking down accents
- Rates or allocates work, for example deciding who gets shifts

FAQ: Common Questions
Will AI replace my recruiters?
No. Recruitment is changing: before you hire more consultants, streamline how your current team works, so each person brings in more revenue and operating profit increases. Once the process is streamlined and the right systems are in place, that’s the time to grow headcount, with every new hire starting on the most efficient setup. Your recruiters spend less time on admin and more time making placements.
What if the AI gets something wrong?
Before a build goes live, we test it heavily against examples from your business, and it needs your sign-off. Anything critical still goes through a person.
How quickly will we see results, and how do we measure them?
Your project plan sets out the timeframes, tests and numbers we will track, so before anything is built, you understand how we will measure success for your business’s implementation.
Will my team actually use it?
Each system is built into the tools your team already uses, so there’s little new to learn. Team adoption is a major factor in getting the full value from a system, so for AI-assisted systems we work with your team, provide extra materials so they understand how it works and the problem it solves, and answer their questions across multiple touchpoints.
Do we own what you build?
Yes. Once the build is signed off and paid for, everything built specifically for your business is yours. Our own proprietary technology in it, the reusable parts we bring to every build and any LeadChase API service it runs on, comes with a lifetime licence, so you can keep using it for good; usage charges for an API service continue. Third-party tools stay under their own terms and subscriptions. It runs in your own accounts and tools wherever possible.
Will it work with our CRM and inbox?
We build around the tools you already use, with a major focus on simplicity in every AI-assisted system. On the discovery call we check what your CRM, email provider and any other tools can connect to before anything is promised.
Do we need clean data before we start?
No. If your data is messy, the system we build is designed to improve data quality from then on, fixing the leak. Tidying past data can be part of the work too, if it needs it.
What does it cost to run?
Running costs, such as AI usage, API usage or the tools used, usually sit on your own accounts. The project plan sets them all out before you commit.
What happens if something breaks?
Builds flag faults to us automatically, and you can reach Jordan directly. A retainer covers fixes and updates; without one, the build stays on the version you signed off.
What happens if we stop working with you?
You own what’s built for your business, hold a lifetime licence to our proprietary technology in it, and keep the documentation, so it keeps running without a retainer. You’re buying an asset, not renting one.
What if an AI provider changes its models or prices?
Model quality and prices will change. Under certain retainer plans, we continuously optimise which models you use and what they cost.
